Administrative Assistant
Schedule: M-F, 8-5pm with possible overtime opportunities
Hourly position
Reports to: HR Manager
The Administrative Assistant will provide administrative support to ensure efficient operation of the office, provide excellent customer service, and assist in managing the day-to-day office operation.
Duties:

  • Perform general clerical duties, including Friday folders management, data entry, photocopying, faxing, mailing, and filing.
  • Maintain office supplies inventory, swag, and employee giveaway merch as well as place orders as needed.
  • Greet and welcome visitors, clients, and employees with a warm and professional demeanor.
  • Answer and direct incoming calls, taking messages and relaying accurate information to the appropriate parties.
  • Manage the reception area, ensuring a clean and organized environment.
  • Handle incoming and outgoing mail, packages, deliveries, and drop offs as needed.
  • Maintain confidentiality and handle sensitive information with integrity.
  • Assist with the preparation of presentations, reports, and meeting materials.
  • Collaborate with other team members to support overall office operations.
  • HR duties as assigned.
  • Perform other administrative tasks as assigned.
Qualifications
  • Bilingual (Eng/Spa) - ability to speak, write, and understand Spanish/English
  • Experience as an Administrative providing support to multiple executives at a fast-paced company.
  • Team player who operates in a team-oriented setting
  • Ability to be discrete and maintain confidential information.
  • Proficiency in Microsoft Office
  • Self-starter with the ability to multi-task, prioritize and respond accordingly in a fast-paced environment.
  • Great communicator who can build strong working relationships with vendors, and internal and external partners.
  • Strong written and verbal communication skills
  • Willingness to take educated risks and think outside of the box.
  • Demonstrates adaptability and flexibility, with a keen ability to adjust priorities based on leaders’ needs and organizational goals.
  • Open to both giving and receiving feedback constructively, with a focus on continuous personal and professional development.
