Reports to: HR Manager
The Administrative Assistant will provide administrative support to ensure efficient operation of the office, provide excellent customer service, and assist in managing the day-to-day office operation.
Duties:
- Perform general clerical duties, including Friday folders management, data entry, photocopying, faxing, mailing, and filing.
- Maintain office supplies inventory, swag, and employee giveaway merch as well as place orders as needed.
- Greet and welcome visitors, clients, and employees with a warm and professional demeanor.
- Answer and direct incoming calls, taking messages and relaying accurate information to the appropriate parties.
- Manage the reception area, ensuring a clean and organized environment.
- Handle incoming and outgoing mail, packages, deliveries, and drop offs as needed.
- Maintain confidentiality and handle sensitive information with integrity.
- Assist with the preparation of presentations, reports, and meeting materials.
- Collaborate with other team members to support overall office operations.
- HR duties as assigned.
- Perform other administrative tasks as assigned.
- Bilingual (Eng/Spa) - ability to speak, write, and understand Spanish/English
- Experience as an Administrative providing support to multiple executives at a fast-paced company.
- Team player who operates in a team-oriented setting
- Ability to be discrete and maintain confidential information.
- Proficiency in Microsoft Office
- Self-starter with the ability to multi-task, prioritize and respond accordingly in a fast-paced environment.
- Great communicator who can build strong working relationships with vendors, and internal and external partners.
- Strong written and verbal communication skills
- Willingness to take educated risks and think outside of the box.
- Demonstrates adaptability and flexibility, with a keen ability to adjust priorities based on leaders’ needs and organizational goals.
- Open to both giving and receiving feedback constructively, with a focus on continuous personal and professional development.
